Create a rule

Automate how incoming mail is handled with conditions and actions.

Rules take the repetitive handling off your plate. Each rule pairs a set of conditions that Fluxmail checks against incoming mail with one or more actions to run when they match. Rules run on Fluxmail's servers in the background, so they fire whether or not you have the app open.

Create one

  1. Open Rules from the sidebar and start a new rule.
  2. Choose a scope: one account, or all of your connected accounts.
  3. Add one or more conditions.
  4. Under actions, choose what should happen on a match.
  5. Save. The rule kicks in on new incoming messages.

Conditions

You can match on:

  • Sender email, sender name, or subject, using contains, equals, starts with, or ends with. Matching ignores case, and the sender fields autocomplete from people who've written to you.
  • An AI condition, where you describe the match in plain English ("is asking to schedule a meeting", "is a job candidate replying about an interview") and Flux AI judges each message against it.

Give a rule more than one condition and you decide whether all of them have to match (AND) or just any one (OR).

Actions

A rule can do any mix of these:

  • Apply a label (an existing one, or a new one you name).
  • Mark done.
  • Move to trash.
  • Mark as priority, or mark as not priority.
  • Move to Newsletters.
  • Draft a reply. Fluxmail prepares a reply to the sender, either from a saved snippet or written by Flux AI from the thread and your instructions. It's never sent automatically. The draft waits in the thread and your Drafts for you to review and send.

Good to know

  • Rules run on new incoming mail. They don't sweep your existing mail.
  • A rule scoped to all accounts still works when a label exists on only some of them; Fluxmail creates it per account as needed.
  • Mark a sender as priority or move an email to Newsletters, and Fluxmail writes the matching rule for you. Those show up in an Auto-created section, kept apart from the rules you write by hand.
  • You can have Flux AI build a rule for you. It shows the conditions and actions for your approval before saving.
